How to Buy Used Catering Equipment and Save Thousands

Buying used catering equipment is one of the most effective ways to reduce the cost of opening or expanding a restaurant, café, takeaway or ice cream business. Commercial equipment can be expensive when purchased new, but a carefully selected used machine can provide years of service at a substantially lower initial cost. The important part is checking suitability, condition and total ownership costs before purchasing.
Know What Your Business Needs
Before buying, make a list of the equipment your business requires. Consider available floor space, ventilation, power supply, water connections and daily production requirements. A machine that is too large or requires an unsuitable electrical supply can become an expensive mistake. Check dimensions and installation requirements before arranging delivery.
Inspect the Equipment
Look for excessive wear, corrosion, damaged panels, missing components and signs of previous repairs. Check doors, seals, controls, moving parts and safety features. For refrigeration equipment, ask whether it reaches and maintains the required temperature. For ovens and cooking equipment, request a demonstration of the main functions where possible.
Ask About Testing and Service History
A working demonstration is valuable, but it should not be confused with a full service or safety inspection. Ask what has been tested, whether any faults are known and if maintenance records are available. For specialist machines, confirm that replacement parts and qualified service engineers are accessible.
Check the Electrical and Installation Requirements
Commercial catering equipment may require single-phase or three-phase electricity, specialist connections or professional installation. Check the rating plate and manufacturer’s specifications before buying. Gas appliances should be installed and checked by an appropriately qualified Gas Safe registered engineer. Electrical equipment should be assessed by a competent person where required.
Calculate the Total Cost
Include the purchase price, VAT where applicable, delivery, installation, servicing and any replacement parts. A cheaper machine may not represent better value if it needs expensive repairs. If equipment is sold as untested or for spares, allow for the risk that it may not be economical to repair.
Compare Like-for-Like Prices
Research the same make and model in similar condition. Compare age, capacity, accessories, service history and whether the machine has been demonstrated working. Advertised prices are not the same as completed sale prices, so use actual sales evidence where available and consider the cost of transport.
Plan Delivery and Access
Measure doorways, corridors and loading areas before purchasing large equipment. Confirm the weight, dimensions and whether specialist lifting equipment is required. Some machines must be transported upright or prepared in accordance with manufacturer guidance. Discuss delivery arrangements with the supplier before committing.
